Hello lovely couples!
Standard invitation timing advice doesn’t work for destination weddings. Your guests need time to book international flights, arrange passports, request time off, and budget for the trip.
We built this after planning our own destination wedding in Crete, where guests traveled from 6 different continents.
This calculator gives you personalized dates for save-the-dates, invitations, RSVP reminders, and final headcount deadlines based on your wedding date and where your guests are traveling from.

Destination Wedding Invitation FAQ
When should I send save-the-dates for a destination wedding?
For international destination weddings, save-the-dates should go out 8-12 months in advance, especially for popular destinations. This gives guests time to plan travel and secure better rates on flights and accommodation. For our wedding in Greece we even sent them 15 months in advance. Just so people had a very clear heads-up (and no excuses!)
How early do international guests need wedding invitations?
International guests typically need formal invitations 12-16 weeks before your wedding date to allow for travel planning, visa processing if needed, and coordination with the destination’s peak tourism seasons.
What if my destination wedding is during peak season?
Peak season weddings (like summer in Greece) require earlier invitation timelines, sometimes an additional 1-2 weeks beyond standard timing, due to limited accommodation and higher travel demand that affects guest planning.
Should I mention travel details on my save-the-dates?
Yes! Include basic destination information, potential hotel recommendations, and travel planning resources to help guests start coordinating their trip early.
How do I coordinate vendor deadlines with guest RSVPs?
The calculator builds in buffer time between your RSVP deadline and vendor requirements, ensuring you have confirmed head-counts well before caterers, venues, and transportation providers need final numbers.
