Planning a destination wedding in Greece was an exciting, yet logistically complex, experience. Guests traveled from different parts of the world. In fact, they came from 6 out of 7 continents. We quickly realized that a wedding website would be the best way. It allowed us to provide everyone with key information, schedules, and updates in one place.
If you’re planning a destination wedding, consider creating a well-structured wedding website. It can save you and your guests time. You’ll also avoid stress and endless back-and-forth communication. We put a lot of effort into creating a well-structured website. It included essential features that streamlined our planning process. This made our wedding planning and guest arrangements smoother.

1. A Warm Welcome: Setting the Tone

First impressions matter. We wanted our guests to feel excited and valued from the moment they landed on our wedding website. A warm and heartfelt welcome message sets the tone for the celebration. It gives guests a glimpse into what makes this day so special for us. It was our way of saying, “We can’t wait to celebrate with you!”
We wanted our guests to feel personally welcomed and excited about celebrating with us. A short welcome message on the homepage helped set the tone for our wedding. Our personal story provided a personal touch that an invitation alone couldn’t capture.

You can use this section to express gratitude and build anticipation. We used this section to show our guests how much we value them. Also how thankful we are for having them in our lives.
2. Event Details: Keeping Everyone on Track

We knew that guests need clear and concise event details; after all, we had been in their shoes before. We created a dedicated section for all key events. This ensures no one misses out on any part of our wedding weekend. This solution eliminates the need to send countless texts and emails. Guests often forget or lose scattered information. Now, everything is provided in one place.
We put in extra effort to update the section promptly. This ensures that key information is included on time.
What we included:
- Wedding ceremony details (date, time, location)
- Wedding Reception details (venue, time, transportation timelines)
- Pre- and post-wedding gatherings (welcome drinks, farewell brunch)
This section became a lifesaver, allowing guests to plan ahead and stay informed.
3. Venue Information: Helping Guests Get There with Ease

Many of our guests had never been to Greece before, let alone our specific wedding location. Some guests wanted to use their own transportation. We wanted to ensure that all venue details were available for them to plan accordingly. Plus, our venue was of historical importance in Crete, and wanted to build up this excitement and sense of history.

4. Help Guests enjoy the Destination Beyond the Wedding

We wanted our guests to make the best out of their trip to Athens, and Crete. Many of our friends and family were traveling to Greece for the first time. We provided Google Maps with our favorite spots in both Athens and Crete.
What we included
To make planning easier, we provided locations we had been to ourselves:
- Archeological locations
- Vineyards and Olive Oil production sites
- Restaurants, bars and coffee spots (I love good food and coffee!)
We categorised all locations for easy navigation and ease of use. Turned out that the maps were used a lot and all our guests relied on them during their trip!
What you can do
A little known feature on Google is you can easily create your own custom maps with your favorite spots. Go to Google. Ensure you add all the important wedding locations like hotels, airports, venue, church, etc. Additionally, add some of the fun activities mentioned above.

5. Travel & Accommodation: Making It Easy for Guests

Many of our guests were flying in from abroad. We wanted to take the stress out of travel planning. The key was to create a celebratory, cozy feeling within a limited area. We curated a list of recommended accommodations. The list suits different budgets. It includes details on flights, airport transfers, and local attractions.
We managed to strike discounted deals with the three hotels located in the area. The majority of our guests booked rooms at the recommendations we shared!
How we managed to book discounted prices
- We planned our wedding in off season (mid-May). This timing benefited the hotels by allowing them to have higher occupancy with discounted prices.
- We approached the hotels early (9 months before the date). This gave them an incentive to fill their calendars. It also provided us with peace of mind.
- We had around 100 guests that were flying in and a considerable amount of their rooms would be booked.
What you can do
Consider making it easier for your guests to plan their trip. By adding accommodation options, you take the hassle of planning off your guests’ shoulders. This creates a ‘village’ feeling during the wedding celebrations. Guests will run into each other and get to know each other before the wedding celebrations!
6. RSVP: Making Attendance Tracking Stress-Free

We didn’t have to deal with RSVP cards getting lost in the mail. This also saved part of our wedding budget. We made it easy for our guests, and ourselves, to confirm their attendance online.
This helped us:
- Track guest numbers efficiently.
- Gather meal preferences and dietary restrictions.
- Collect addresses to send out physical wedding invitations.
- Send out (automated) follow-up emails to those who hadn’t responded on time.
- Plan transportation and seating arrangements smoothly.
What you can do
If you’re planning a large wedding, consider using an RSVP form. This form can collect extra details like song requests, favorite cocktails, or travel needs.
Before you open the RSVP, it helps to know what number to expect. Destination weddings typically see 60-70% attendance. The free calculator gives you a realistic starting number based on where your guests are traveling from.
7. A Simple & Thoughtful Way to Give

We got married 9 years into our relationship. We had already built our household and there was a limited number of things we really needed.
Additionally, we knew that we couldn’t carry anything from Greece back home. This meant that friends and family in Greece found it difficult to choose what to gift us.
We, therefore, decided to ask guests not to bring gifts as it would only make things logistically challenging.
Instead, we asked for a gift via bank transfer to contribute to our honeymoon. I believed this was well-received by most people, as in Greece it’s customary to get envelopes of cash.
What you can do
A couple of our closest friends gifted us with experience-based gifts. These have been a delight. We get to spend more time with them doing fun and unique things to celebrate. We might go for a nice dinner when back home. Sometimes, we plan a short trip somewhere. You can also allude to this as another option.
8. Contact Information: Giving Guests an Easy Way to Reach Out
Even with all the details listed on our website, we knew that some guests would still have last-minute questions. Before our wedding day, we had the time to respond to all our guests’ questions. It was convenient for us to answer them. However, we wanted to make sure that we wouldn’t have extra stress on our wedding day. We provided the contact information of our wedding coordinator. We also shared the contact information of my best-friend. This ensured that any last-minute questions on the day would be addressed timely.
What you can do
Designate someone as the guest contact person. This could be a wedding planner, coordinator, friend, or family member. This way, you can enjoy your big day without being bombarded with calls or messages.
How Our Wedding Website Saved Us Time & Stress
Having all this information in one central place saved us from answering the same questions over and over. Instead of sending hundreds of texts and emails, we simply told guests to check the website for updates.
