How We Made Guests Feel at Home Before Our Wedding

Planning a destination wedding in Greece was one of the most exciting (and slightly overwhelming) experiences of our lives. One thing we really wanted to focus on was wedding guest experience. We had to make sure our guests felt comfortable, connected, and excited before the big day. We wanted to honor our guests. They put in the effort to be there on our special day. Many of them were traveling from far away. We didn’t want the wedding to feel like a one-day event. Instead, we wanted it to be a full experience.

Looking back, creating a warm and inviting atmosphere before the wedding was one of the best decisions we made. Our guests got to know each other before the wedding day. New relationships were formed. By the time we had our wedding reception, it felt like a big reunion party!

Here’s exactly what we did to make everyone feel at ease and connected before our wedding day.

1. We Chose a Secluded Area (That Felt Like a Little Village!)

We’re all about what a village represents – close and supportive connections, with a love for the community and surroundings.

We wanted an accommodation base for our wedding that felt intimate and inviting. We preferred this over a huge, impersonal resort where guests would feel disconnected. And we wanted to ensure that we maintain that same feeling across all days, and events planned.

What we did

• We picked a small, charming area where guests stayed within walking distance of each other.
• We blocked rooms at a few nearby hotels to ensure guests wouldn’t be scattered all over.
• Our guests kept running into each other at local cafés, bakeries, and beaches, which created a “mini village” vibe!

If you can, choose a venue or accommodations that encourage organic guest interactions. Instead of everyone staying in a large, sprawling resort, consider boutique hotels, charming guesthouses, or villas close together.

2. We Hosted a Casual Welcome Drinks Evening

The night before the wedding, we wanted to create an opportunity for guests to meet and mingle. We wanted them to feel more connected without any pressure.

What we did

• We organized welcome drinks at a relaxed, cozy bar with a stunning sunset view.
• There was no formal seating plan – just an open space for guests to chat and enjoy.
• We kicked off the night with a quick toast, welcoming everyone and thanking them for making the journey!

A welcome drinks event doesn’t need to be expensive. Consider a low-key bar. You can also choose a local taverna or even a casual beach gathering. Guests can grab their own drinks and relax.

3. We Created a Personalized Wedding Website with Everything They Needed to Know

A destination wedding involves many logistics. We wanted our guests to feel well-prepared before they even arrived. Many of our guests were traveling with children. We already had a very limited time in our schedules for direct communication. So, we wanted to ensure that all relevant and important information is consolidated under one central place.

The solution? A wedding website with all the key details!

What we included

• Accommodation recommendations with direct booking links.
• Transportation details, including the best ways to get to the venue.
• Local must-visit spots, like our favorite cafés, tavernas, and beaches.
• A Google Map with key locations marked for easy navigation.

Guests appreciate having all the information in one place. It prevents last-minute questions. It also helps them feel more in control of their trip!

4. We Created a “Guest Connection” WhatsApp Group

One of our favorite ways to bring guests together before the wedding was through a WhatsApp group. It gave everyone a place to connect, ask questions, and share plans. Even if we didn’t respond quickly, the group members provided answers and directions swiftly when needed.

What we did

• Created a group chat where guests could introduce themselves.
• Shared daily updates on optional activities, local weather, and casual meetups.
• Encouraged guests to post their own plans (like “we’re heading to this beach – join us!”).

A WhatsApp or Facebook group is great for breaking the ice. Guests who didn’t know each other before the wedding were already chatting like old friends by the time they arrived!

5. We Hosted a Relaxed Post-Wedding Brunch

Many guests were staying for a few extra days. We decided to extend the celebration beyond just the wedding day. That allowed us to say our proper goodbyes to our guests. We connected people who were traveling back together or needed transport. We also caught up with people we knew it would be difficult to see again in person for a while!

What we did

• Organized a casual brunch at a local seaside restaurant.
• Kept it laid-back – no speeches or formalities, just good food and laughs.
• Guests loved having one last chance to catch up and relive the wedding highlights! In fact, we got to hear about hilarious moments that we had naturally missed!

A full brunch may not be possible. Consider organizing a coffee meetup. You could also plan a casual beach day for guests who are staying longer.

Final Thoughts: Creating a Cozy Pre-Wedding Atmosphere Matters!

By the time our wedding day arrived, it felt like a reunion rather than a formal event. Guests were already familiar with one another, making the atmosphere warm, inviting, and full of energy.

The environment matched exactly what we had dreamed of. It was a group of old friends meeting again. They were altogether in a village setting.
